The Great Camp T-Shirt Scramble

There is a moment, every spring, when a camp director sits bolt upright in the dark and remembers the shirts. Camp starts in eleven days. The logo is a JPEG someone screenshotted off the website in 2019. Nobody can confirm whether last year's youth larges ran small or simply perished in a laundry incident. And the color everyone adored turned out to broadcast every fleck of lake mud by the second afternoon.
Camp apparel looks like the easy line item. It is a trap. It looks easy right up until you're sizing four hundred children plus a staff of teenagers, hunting a fabric that can survive archery, canoeing, and being slept in nightly, and gently explaining to a printer why you need all of it before a date that even you admit is unhinged. The reassuring part: an entire industry does this on purpose, all year, and is not remotely rattled by your timeline. Learn the terrain once and the annual scramble becomes a Tuesday. Camp apparel is secretly five jobs wearing a trench coat
The first mistake is treating "apparel" as one purchase. It's at least five, and they don't all come from the same place.
There's the all-camp tee — sacred, bulk-ordered, immortalized in the group photo, worn as pajamas for a decade afterward. There's staff apparel, which would like to look one notch more adult. There's the camp store haul — hoodies, hats, the impulse buys parents cannot resist on visiting day. There are name labels and sleepaway essentials, an entire shadow category that matters enormously the first time you try to reunite a child with a nameless, ownerless sock. And there's the specialty stuff — sun shirts, tie-dye, spirit wear, the one item that somehow becomes your camp's whole personality. Five jobs. Often more than one vendor. Figuring out which one you're shopping for is half the battle, and the half nobody tells you about.
The vendors come in flavors
You don't need to memorize a directory. You need to know the types, because each is good at a different slice of the five jobs.
Some shops speak fluent camp — they know what a name-drop is, they've sized a session before, and "four-week residential, here's our logo" makes them nod instead of flinch. Some are the upload-your-art tee machines — pick a shirt, drop in the design, order for a group, never dial a phone. Some are the swag cathedrals — cavernous catalogs of everything brandable, for the moment your order quietly mutates from "shirts" into shirts and water bottles and lanyards and drawstring bags and a tote for the welcome packet. Some do print-on-demand wizardry — printing each item as it's ordered and shipping it straight to the family, which means no minimums and no closet full of unsold mediums haunting your office in October. And some are the label people, who exist for the singular, holy purpose of getting a duffel's worth of clothing home with the correct child.
Most camps end up using two or three. That's normal. (The actual names live in the list at the bottom — go forth and pick.)
The fees that mug you in the parking lot
Cheerful "I'll just order some shirts" energy, meet reality. None of these are dealbreakers. They're just the surprises that ambush the invoice when nobody warned you — so consider yourself warned.
Minimums. Bulk printers usually want a floor before they'll fire up the press. Wonderful for the all-camp tee, maddening for twelve staff polos. (This is print-on-demand's entire reason for existing.)
Setup and art fees. Screen printing tends to charge per color, per location, plus a one-time setup. That glorious four-color back design costs real money next to a one-color chest hit — good to know before you fall in love with the elaborate version.
Turnaround, a.k.a. your unhinged deadline. "Rush" is a real line item with a real price tag. The single cheapest trick in camp apparel is ordering three weeks before you think you need to. Nobody has ever regretted this. Many have regretted the reverse, loudly, in late June.
Sizing a whole camp. Youth sizes, adult sizes, the counselor who needs a 3XL, the camper whose form said "medium" and meant "anything but medium." Order a sensible spread plus a few spares in the popular sizes, because someone always needs one. Always.
The proof. Look at it. Read the year. Spell-check the camp name out loud. The most expensive shirt on earth is a box of five hundred with last summer's dates printed across the back.
The mid-summer reorder. You will run out of the popular size in July. Ask up front how fast a reorder turns, so the answer isn't "a camp store now stocked exclusively in extra-small."
How to come out the other side sane
The directors who make this look effortless aren't smarter — they're earlier and tidier. Keep your logo where you can actually find it, in the format printers want (ask "do you need vector?" once, then keep the answer forever). Befriend one or two vendors who know your camp, so next year is a reorder instead of a research project. Decide which of the five jobs you're buying before you shop. And order before the panic, not during it.
Because the camp T-shirt outlives the summer. It gets pulled from a drawer years later and instantly smells like sunscreen and pond water. That's worth getting right — and getting it right is mostly knowing who to call and starting a little sooner than feels comfortable.
